3 expert tips for throwing a fabulous fundraising fete like a pro
Dallas is one of the nation’s most philanthropic cities, raising significant dollars from special events. How can an event be truly spectacular, create that ever-important wow factor and inspire potential donors to open their wallets?
Event production plays a big role in making the occasion stand out, and Beyond has ideas that can create a big bang for the buck.
Idea No. 1: Name drop
Nonprofits rely on contributions from sponsors and underwriters, so celebrate their involvement by placing their logos and names on your website and invitation for pre-event promotion, as well as signage at the event. If you use signs, don’t forget to light them, so you’re not wasting money and resources due to low lighting in the venue.
Another idea from Beyond’s professionals: Project sponsor logos on buildings and venue walls. These projections are often softer on the budget than producing signage, and they can be used year after year.
Another inexpensive strategy is to show the sponsor loop on plasma TVs at registration, around the room or on the large screens that will be used event. They act as a great promotional medium to attract attention as people enter the room.
Idea No. 2: Add pizzazz to the place
Most of the events highlighting philanthropic causes want to attract 600-plus participants. But there are only so many venues in the Dallas area that hold this sized group. So when so many are using the same venue, what do you do to be different and stand apart from the others?
Decor lighting is one of the most simple and cost effective way to transform a ballroom — the one you’ve been to a dozen times over the last 12 months. The use of simple up lighting, changing the color of the walls and softening the overall interior make a world of difference.
Another tip: Use pattern projections that enhance your event theme; for example, a Western casino party and concert could have wooden pattern projections around the ballroom.
Idea No. 3: Ask for audio options
Screens, projections and sounds systems can often be an overwhelming part of the special event to the planner and the budget. With such a variety of options available to help you execute a flawless production, don't be afraid to ask for the most cost-effective option.
Depending on the entertainment, you might not need to hang the speakers from the ceiling; it may work just fine if the audio system is ground supported. If you’re in a ballroom or a venue where you have extra room, consider rear projecting the visual rather than hanging the projector from the ceiling.
If the guests will mingle in a foyer or a space that’s outside of the main event area, Beyond recommends adding supplemental sound so those possible donors to the auctions know exactly where to be and when.
Planning your fundraiser includes organizing myriad details. Don’t be afraid to ask questions of your vendors and partners. With a little bit of planning, and help from the pros at Beyond, your event won't only stand out, but it will also be the one everyone talks about for years to come.
